How to give colleagues access to a Bold Smart Lock
Step-by-step: How office managers can give colleagues access to a Bold Smart Lock and assign admin rights in the app.
You have just received access to your office, great start. Now it is time to make sure your colleagues can get in too. With the Bold Smart Lock and the Bold app, you can easily invite employees, manage their access, and even give admin rights to trusted team members.
Here is how to do it.
Step 1: Invite a colleague to your Bold Smart Lock
As the lock owner in the Bold app, you can invite colleagues in three ways: by email, SMS, or QR code.
To send the invitation:
- Open the Bold app on your phone.
- Select the lock you want to share.
- Tap ‘Access’.
- Tap ‘Invite user’.
- Choose how long they should have access (permanent or scheduled).
- Choose how to send the invitation:
- Email (enter their email address)
- SMS (enter their phone number)
- QR code (generate a code they can scan)
- Tap ‘Send invitation’, or show the QR code directly to your colleague.
Make sure the invitation is opened on the phone of the person you are inviting. The link will open in the Bold app. If the app is not yet installed, the user will automatically be redirected to the App Store or Google Play to download it first.
Step 2: What your invited colleague needs to do
Once the invite is received:
- The user opens the link or scans the QR code on their phone.
- They must have the Bold app installed and be logged in to their existing Bold account.
- The app will open automatically and show the invitation.
- After accepting, the lock will appear in their app.
They can now unlock the door using their phone. If Auto Entry is enabled on that lock, it will open automatically when they approach.
Step 3: Give admin rights to selected colleagues
Some colleagues may need more than just entry. You can give them admin rights so they can invite or remove users, adjust schedules, and view security alerts.
You can assign admin rights in two ways:
- During the invitation process (before you send the invite).
- Afterwards by editing their profile in the lock’s ‘Access’ list.
To do it after the fact:
- Open the Bold app and go to ‘Access’.
- Tap the person’s name, then ‘Edit’.
- Toggle on ‘Admin rights’ and save your changes.
Admins will have the same level of control as you and will also receive security alerts, including night alerts, leave alerts, and pincode warnings.
This setup works perfectly for shared offices, coworking hubs, or growing teams. You stay in control, delegate when needed, and keep things running securely with zero key chaos.
