How to get started with the Bold Business Portal?

Use this starter’s guide to get the most out of your Bold Business Portal.

Before you can get started with the Bold Business Portal, you need a business account in the Bold system. You can purchase this from our webshop. Once you have a Bold Business Portal account, you can log in using your Bold app details. 

The Bold Business Portal is available in the same languages as the Bold app. Want to change the language? When you do this on your phone in the Bold app, the Business Portal will change accordingly.

Devices | Groups | Events

The Devices tab has 3 sections: Devices and Device Groups and Events.

It shows all your company's devices and all relevant information in one view. To add a device to your Bold Business Portal, open the Bold app on your phone and select the device you want to transfer. Go to 'Manage', select 'Transfer to organisation' and select the relevant organisation. Once the device has been transferred, you will see it appear in the Bold Business Portal.

The Devices tab shows an overview of all devices. When you zoom in on one of the devices, you will see the following items:

Shared with: You can see here which users or user groups have access to this lock.

Device history: You can see here the activations that have taken place for this lock.

Settings: Here you will see the device information, such as:

  • Name: You can change the name to keep track of all your devices. If you change the name of a lock in the portal, the name will be changed for all users and administrators in the Bold app.
  • Location:  If you have entered a device location, it will be displayed here. This can be useful if you want to keep track of where each device is located.
  • Remarks: Internal comments can be added here.
  • Device groups: The device groups in which this device is located.
  • Store events: Here you can disable saving activations if desired.
  • Lock information 
    • Device type: The type of device (e.g. 'Lock').
    • Serial number: Here you will see the device ID.
    • Battery level: The battery status can be found here. If a lock has not been connected to the server for more than two weeks, the status could show a question mark. To update the battery status in the portal, periodic activation via Bold Connect or phone is required.
    • Firmware version: The current firmware version of the device. If an update is available, the current version is gray and the new version is green. Update your Bold devices using the Bold app on your phone.
    • Installed: You can find the installation date here.

The Device Groups tab shows an overview of all device groups. You can also create a new device group. Give the device group a name and enter a description if necessary. Then you can add the locks (or Bold Connects) you want to group. A device group has the following items in it:


Devices: All the devices currently in the device group.

Access: The users and user groups this device group is currently shared with.

Settings: Here you can change the name of the group and delete the group if desired.

Good to know: When you add a new device to a device group, the device is added to all access rights that exist for those Bold device groups. This makes managing digital keys even easier if you share device groups with user groups!

The Events tab shows an overview of all activities completed on devices in your business account. At the top, you can search by devices or device groups, users or user groups, dates of events and types of events. There is also the option to create an export (CSV) here. 

Users | Groups

The Users tab has 2 sections: Users and User Groups. Want to add a new user to a user group or share a lock with them? Then add them as a user first. You enter the first name, last name and email address for each user. The invitation language determines in which language he or she receives the invitation to Bold.

Your users can only use the Bold app, unless you give them portal access. They can then log in to your Bold Business Portal website and make changes to your organisation. Each portal administrator logs in with the login details of the individual Bold app.

The following information is displayed on the Users tab:

Name: The first and last name of the user. If the user name is grayed out, then the user has been invited but has not yet created a Bold account.

User groups: The user groups to which this person belongs. If you add a user to a user group, he automatically gets the same rights as all other users in this user group! Even if you remove users from the user group, all their access rights are removed.

When you zoom in on an individual user, there are these options:

  • Access to: You can see here which devices this user has access to. This can be via a direct invitation or because he or she is part of a user group.
  • Events: Activations by this user are visible here.
  • Settings: Here you can make changes to the user's contact details. He or she can also make changes themselves in the Bold App. Here you can also give a user Portal access. Note: This gives this user full rights to make changes to devices, users or groups.

If a user has a new phone number, you do not need to change anything here. The user can simply change their phone number in the account settings of their Bold app and the information will be updated in the Bold Business Portal. The access rights created will also remain valid.

Note: Make sure that if your employees use their (business) phone number or email address for their Bold account, they delete the Bold account in the Bold app before they leave the company.


Access rights: Invite users or user groups to a device or device group

You can manage access rights in several places. The most likely is that you grant a user or user group access from a device (group).

To do this, go to the relevant device(group). There you can share Access. 

You can then set up multiple components: Users can have administrator rights or perform remote activations, use their Clickers on the company locks or a schedule can be applied (e.g. only access on weekends for the cleaning service).

This is where all the beauty of the Bold Business Portal comes together: It is a great way to share an individual lock or a group of locks with a group of users, so that all users have the same access rights instantly!
