How can a reception team provide access to the rooms of a building?

How reception can assign new users to the correct group and give access via the Bold portal.

When someone new arrives at your building, the reception team can give them access to the right rooms by inviting them to the correct user group in the Bold portal. That group is already linked to the company’s device group (the locks they need).

Here is how to do it in four quick steps.

Step 1: Ask which company they belong to

Confirm which company the person is visiting or working for. This tells you which user group to use in the portal.

Step 2: Find the user group in the Bold portal

  1. Log in to the Bold portal.
  2. Go to ‘User groups’.
  3. Search for the group linked to that company.
  4. Open the group.

Each user group is already linked to the right locks via a device group.

Step 3: Invite the user

  1. Click ‘Invite user’.
  2. Enter their name and email or phone number.
  3. Choose the access type (permanent, scheduled, or one-time).
  4. Send the invite by email, SMS, or show the QR code.

Step 4: The user opens the invitation

When the user opens the invite link:

  • If the Bold app is already installed and they are logged in, the app opens and the invite appears.
  • If the app is not yet installed, they are automatically sent to the App Store or Google Play first.

After accepting the invite, the locks linked to the company will appear in their app.

This flow keeps things fast at reception and secure at the door. Everyone gets the right access, without manual lock selection.
