How to manage devices and users in the Bold Business Portal?

Manage devices, users, and access rights efficiently with the Bold Business Portal. This guide shows you how to stay in control of your business security with just a few simple steps.

Manage your devices

When you select the Devices tab, you’ll find everything you need to manage your company’s devices, groups, and activity events.

Add and manage devices

To add a new device:

  1. Open the Bold app on your phone.

  2. Select the device you want to transfer.

  3. Go to Manage and choose Transfer to organisation.

Once transferred, the device will appear in the Bold Business Portal.

Device overview

Select a device to view and manage all its key details in one place:

  • Access management: See who has access to the device.

  • Activation history: Track when and how the device has been used.

  • Device settings: Manage the device name, location, and add internal comments.

  • Technical details: Check the device type, serial number, battery level, firmware version, and installation date.

  • Event storage: Decide if activation events should be stored for each device.


Organise devices with groups

The Device Groups tab lets you organise your devices for easy management.
Create a new group by:

  1. Naming and describing the group.

  2. Adding the relevant locks or Bold Connects.

You can view all devices in the group, manage associated access rights, rename the group, or delete it.

Tip:
When you add a device to a group, it instantly inherits all the group’s access rights, making key management faster and simpler.

Track activity with events

The Events tab provides a clear overview of all device activity within your business account.
Need to keep records? You can export the data as a CSV file for easy reporting and auditing.

Manage users and user groups

Managing users and their access rights is just as simple in the Bold Business Portal.

Add and manage users

In the Users tab, you’ll see two sections: Users and User Groups.
To give someone access:

  1. Add them as a user.

  2. Enter their first name, last name, and email address.

  3. Choose the invitation language, which will determine the language of their invite.

By default, users can only access the Bold app. If you also want them to manage devices and users via the Bold Business Portal, grant them portal access.

User details and access

When you select a user, you can:

  • See their name and the groups they belong to.

  • Check the devices they have access to.

  • Review their activation history.

  • Grant or revoke portal access (this gives them full rights to manage devices, users, and groups).

If a user’s name appears grayed out, it means they’ve been invited but haven’t yet created a Bold account.

Important:
If a user changes their phone number, they can update it directly in the Bold app, and the Business Portal will sync the update automatically.
If an employee leaves your company, ask them to delete their Bold account in the app, especially if they used their business phone or email.

Control access rights with ease

To manage access rights:

  1. Go to the device or device group.

  2. Share access with users or user groups.

  3. Assign specific rights, like administrator privileges, remote activation, or Clicker use.

  4. Set up schedules, such as weekend-only access for cleaning staff.

Tip:
Save time by sharing device groups with user groups. This way, you grant the same access rights to multiple users instantly.
