How to manage devices and users in the Bold Business Portal

A guide to managing devices, users and access rights efficiently within the Bold Business Portal.

Devices | Groups | Events

Devices

When you access the Devices tab, you will find three sections: Devices, Device Groups, and Events. This tab gives you a comprehensive view of all your company’s devices and relevant information.

  • Devices: To add a new device to the Bold Business Portal, open the Bold app on your phone, select the device you want to transfer, go to ‘Manage,’ and choose ‘Transfer to organisation.’ Once transferred, the device will appear in the Bold Business Portal.

  • Device Overview: When you select a device, you can view and manage all relevant details in one place. This includes who has access to the device, its activation history, and key settings such as the device name, location, and internal comments. Additionally, you can check the device type, serial number, battery level, firmware version, and installation date. You also have the option to manage whether activation events are stored for each device.

Device Groups

The Device Groups tab lets you organize your devices into groups. You can create a new device group by giving it a name and description, and then adding the relevant locks or Bold Connects. Each group shows all devices within it, the access rights associated with the group, and allows you to rename or delete the group.

Tip: When you add a new device to a group, it automatically gains all access rights associated with that group, making digital key management easier.

Events

The Events tab provides an overview of all activities completed on devices within your business account. There’s also an option to export this data as a CSV file.

Users | Groups

Managing users and their access rights is straightforward with the Bold Business Portal. Follow these steps to efficiently set up and manage your team’s access.

The Users tab contains two sections: Users and User Groups. To grant someone access to your locks, start by adding them as a user. You will need to enter their first name, last name, and email address. The invitation language will determine the language in which they receive their invitation.

Users can only access the Bold app unless you grant them portal access. Portal access allows them to log in to the Bold Business Portal and manage devices and users within your organization.

  • User Details: In the Users tab, you can see each user's name and which groups they belong to. If a user’s name is grayed out, it means they have been invited but have not yet created a Bold account.

  • User Access: When you select an individual user, you can view the devices they have access to, their event history, and their settings. You can also grant or revoke portal access here. Note: Portal access gives the user full rights to make changes to devices, users, and groups.

Important: If a user changes their phone number, they can update it in the Bold app, and their information will automatically sync with the Bold Business Portal. If an employee is leaving the company, ensure they delete their Bold account in the app before they depart, especially if they used their business phone number or email address.

Managing Access Rights

To manage access rights, go to the device or device group where you want to assign access. You can then share access with users or user groups, granting them rights such as administrator privileges, remote activation, or the ability to use Clickers. You can also set up schedules, for example, giving the cleaning service access only on weekends.

Tip: The Bold Business Portal makes it easy to manage access for multiple users at once by sharing device groups with user groups, ensuring all users have the same access rights instantly.
